Human Resources Representative

POSITION SUMMARY:
The Human Resources Representative provides day-to-day human resources support to employees and management by administering HR programs and assisting with onboarding, employee relations, benefits administration, leave administration, HRIS maintenance, and compliance. This position serves as a trusted resource for employees while ensuring compliance with federal, state, and local employment laws. The HR Representative is responsible for maintaining accurate employee records and processing personnel actions utilizing ADP Workforce Now and Deltek Costpoint.
KEY RESPONSIBILITIES:
Employee Relations:
Serve as the primary point of contact for employee questions regarding HR policies, procedures, benefits, and employment matters.
Respond to employee and management inquiries in a timely and professional manner.
Assist with employee relations matters, including disciplinary actions, performance improvement plans (PIPs), coaching documentation, and separation documentation.
Maintain strict confidentiality of employee information.
Onboarding:
Coordinate new hire onboarding and orientation.
Process new hire paperwork, including I-9s, E-Verify, and employment eligibility documentation.
Ensure all required onboarding documents are completed and maintained.
Enter and maintain new hire information in ADP Workforce Now.
Benefits & Leave Administration:
Assist employees with benefit enrollments, qualifying life events, and Open Enrollment.
Respond to employee benefit inquiries and coordinate with insurance carriers and benefit vendors.
Administer leave programs, including FMLA, ADA accommodations, military leave, and other protected leaves.
Coordinate leave documentation with employees, managers, and third-party administrators.
HR Administration:
Process personnel actions, including:
New hires
Promotions
Transfers
Compensation changes
Status changes
Separations
Maintain employee personnel files and HR records.
Process employment verification requests.
Prepare HR correspondence, reports, and employment-related documentation.
Maintain employee data and organizational changes within ADP Workforce Now, ensuring data integrity and accuracy.
Compliance:
Ensure compliance with federal, state, and local employment laws and company policies.
Maintain required personnel records and documentation.
Assist with internal and external audits.
Track and maintain required employee training and certifications.
Offboarding:
Coordinate voluntary and involuntary separations.
Prepare separation documentation.
Conduct exit interviews, as assigned.
Coordinate final pay, COBRA notifications, and the return of company property.
Additional Responsibilities:
Assist with HR projects, process improvements, and employee engagement initiatives.
Prepare HR reports and maintain HR metrics.
Perform other related duties and responsibilities as assigned that may not be specifically stated above.
QUALIFICATIONS:
Education and Experience:
Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field; equivalent relevant experience may be considered.
2–4 years of Human Resources experience, covering employee relations, onboarding/offboarding, benefits, leave administration, and HR operations.
Experience supporting a U.S. workforce and U.S. employment practices is preferred.
Government contracting environment experience and SHRM-CP certification are advantages.
Systems and Technical Skills:
Hands-on experience with ADP Workforce Now and Deltek Costpoint for HR and personnel administration.
Proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
Working knowledge of U.S. federal and state employment laws, including FMLA, ADA, COBRA, I-9, E-Verify, and applicable leave requirements.
Experience with HRIS data management, personnel actions, HR reporting, employee records, benefits, and leave administration.
Familiarity with approved AI tools for HR research, reporting, documentation, and process improvement is preferred.

4. Work Requirements:
Full-time position providing day-to-day HR support to employees and management.
Ability to support U.S.-based HR operations and business hours as required.
Ability to manage confidential employee and employment-related information securely.
Ability to coordinate onboarding, employee relations, benefits, leaves, personnel changes, compliance, and offboarding activities.
Ability to maintain accurate HRIS records, documentation, reports, metrics, and audit-ready employee files.
Must comply with company policies, data privacy requirements, and applicable employment regulations.

COMPENSATION AND BENEFITS:
Base Salary - Competitive gross basic monthly salary, commensurate with the candidate’s qualifications, relevant experience, certifications, and specialized technical expertise
Night Shift Differential - Provided in accordance with applicable Philippine labor requirements and company policy.
Statutory Benefits - SSS, PhilHealth, Pag-IBIG, 13th-month pay, and applicable holiday pay in accordance with Philippine law.
Allowances - Applicable de minimis or work-related allowances, subject to company policy and employment terms.
Health Coverage - HMO coverage subject to the eligibility date and terms stated in the employment offer and company. policy.
Paid Leave - Vacation and sick leave benefits subject to eligibility, accrual rules, and company policy.
